This step by step checklist outlines how to make the relationship between your company and Exact Visitor GDPR compliant. It also includes guidance on how to update your privacy and cookie policies when using Exact Visitor.
The GDPR is there to protect and control the use of personal data. Exact Visitor takes the necessary actions to comply with the GDPR and we are dedicated to being 100% transparent on how we comply so you can feel totally at ease when you work with us (read more on this in our Privacy Policy). Like any other platforms you onboard within your business which involve the collection and processing of personal data, there are steps you need to take to ensure the relationship between you and the provider is compliant.
There are three steps you need to complete when you use Exact Visitor.
What you need to do:
To use our Lead Generation service, you need to install the Exact Visitors Tracking Script on your website. This allows us to process information about your website visitors which we share with you on our platform.
This activity entails the collection and processing of personal data. When we refer to ‘personal data’ we mean all information that is directly or indirectly referable to a natural living person such as name, device id, email address, IP-address or location data.
Three simple steps to achieve compliance:
- obtain the valid consent of your visitors to set cookies in their devices and read them;
- inform the visitors about the cookies that your website is using;
- inform the visitor about our (Exact Visitor) use of information from the cookies set in their devices to improve the Lead Generation Service.
How to do it:
A – Cookie and Personal Data consent
To set cookies in visitor’s devices, their consent is required. This can be obtained by using e.g. “I accept”-buttons placed in a cookie banner, in connection with shortly informing the visitor that cookies will be used (this information is to be provided in addition to the lengthier information described below).
B – Information about the cookie consent and information regarding our processing of personal data
A visitor’s consent to the use of cookies must be informed. Therefore, you must provide the visitors with a cookie policy in accordance with applicable laws.
One part of the cookie policy is to provide information about the cookies that are set by your website, along with information about what they do and how long they are stored in the visitor’s device. Please note that national legislation and best practice may differ on how extensive this information must be.
In order to help you with providing information to your visitors about cookies from Exact Visitor, information about the cookies that are set when our pixel is called is provided below at the end of this document, for you to insert in your cookie policy.
C – Informing your visitor:
The requirements set out in applicable data protection legislation (the GDPR) states that the visitor shall be provided information regarding our (Exact Visitor) processing of personal data relating to the visitor.
Therefore, you need to inform visitors on your website that Exact Visitor will process personal data about them. You can do this by displaying the following text in close connection with your privacy policy, or by otherwise providing clear information in a suitable way that the use of your website will entail processing of personal data by Exact Visitor.
Copy the following information into an appropriate section of your website/privacy policy:
(As a guide, it could go into the same section as where you state use of your Google Analytics script or other tracking tools)
